Plan the people and routines around the robot

A robot is part of a cleaning operation. Before purchasing, agree who keeps it ready, who handles exceptions and how maintenance will be supported.

Make daily responsibilities explicit

Request the model’s operating and care instructions. Use them to define preparation, inspection, refilling or emptying, cleaning of machine components and end-of-shift responsibilities. The required tasks and safe procedures depend on the actual machine.

Understand consumables and replacement parts

Ask which brushes, pads, filters or other parts the proposed configuration uses. Confirm the appropriate replacement criteria, availability and ordering process rather than assuming a universal service interval.

Agree the handover

Identify the staff who will operate and maintain the machine, the training information they need and how site procedures will be documented. Ask how software settings, access and any changes to the site map will be managed.

Clarify support before purchase

  • Who is the first point of contact for a technical issue?
  • Which diagnostics and information should the operator collect?
  • Which tasks may site staff perform, and which require qualified service?
  • What warranty scope, exclusions and service arrangements apply to the proposal?
  • How are spare parts, documentation updates and software changes handled?

Use this guide to prepare questions. Follow the approved manufacturer instructions and site procedures for the selected machine.
